Every post needs both a task and a clear handover point

The stewarding team supports routine visitor operations. When a situation exceeds its brief, it is handed to the named lead, security or the responsible production contact.

Inputs for the first proposal

Headcount is not based on attendance alone

The team is built from the map, timetable, overlapping posts and division of roles. An operating outline is enough for the first review; details are completed before confirmation.

Our base is in Brno. We confirm each deployment after checking the date, scope, travel and whether a suitable team is available. A nationwide deployment does not imply a local branch.

Responsibility matrix

Stewarding, security and emergency services have different responsibilities

Exact responsibilities depend on the event, venue, authority conditions and contracts. Before deployment, we therefore confirm in writing who decides, who performs each visitor-facing task and who receives an operational change or incident.

Organiser / production

Sets the visitor rules, conditions of entry, programme, responsible contacts and authority for operational changes.

Stewarding team

Checks tickets and credentials under the brief, guides visitors, supports sectors, queues and information points, and reports problems early. Stewards have no special powers beyond those of an ordinary person.

Security team

Carries out agreed protection, security checks and incident procedures within legal and contractual limits. It is not a police authority.

Police, fire and medical services

Exercise the statutory powers and specialist functions assigned to them. Stewards report through the named lead and follow the agreed procedure.

A steward does not act beyond the agreed role. They alert the lead, keep a safe distance and follow the visitor rules and confirmed communications chain.

We do not use a universal staff-to-attendance ratio. The roster is based on the venue plan, visitor flow and the agreed division of responsibilities between production, stewarding and security.

What to confirm before building the team

These answers keep stewarding within visitor-facing tasks and do not confuse it with police or specialist powers.
01What is the difference between stewarding and event security?

Stewarding mainly covers admission, guidance, queues, sectors and information points. Event security carries out agreed security duties, checks and incident procedures. In a combined team, roles and lead contacts are defined in advance.

02What can a steward do, and when is a situation handed over?

A steward performs visitor-facing tasks under the organiser’s brief, explains the rules and reports problems early. Stewards have no special powers beyond those of an ordinary person. A dispute, incident or security question is handed to the named lead or security team.

03Who handles an incident, and when are police, fire or medical services called?

The organiser defines the decision and communications chain in the event plan. Stewards report through the team lead; police, fire or medical interventions are taken over by the relevant responders. A private service does not replace them.

04What information do you need to propose staffing?

The date, map, schedule, expected attendance, entrances, sectors, cloakrooms, information points and task list. Overlapping posts and the time each one must remain staffed also affect the proposal.

05Can you deploy across Czechia?

Yes, possible deployments are assessed against the date, scope, travel and team availability. Our base is in Brno, and a more distant venue is confirmed only after the logistics for the specific event have been checked.

06Can stewarding be combined with security?

Yes. The proposal separates visitor-facing stewarding tasks from security posts and defines the leads, communications and escalation process. The exact combination follows the venue, programme and event risks.

07What is confirmed before the team arrives?

The service scope, times, posts, lead contacts, roles of each team, communications and procedures for an operational change or incident. Open conditions are stated before the order is confirmed.
